Job Description

Management of the vehicle tracking system
• Daily tracking of vehicles, to ensure vehicles follow the best possible route
• Identify any unauthorized stops
• Identify any deviations from planned route and report these to the relevant Supervisor
• View camera footage to identify deviations
• Inform the Transport Manager of all “due soon” tasks to be completed
• Monitor vehicle progress and take appropriate actions when the planning has been changed

Job Description

KEY TASKS AND RESPONSIBILITIES
1. Administration
• Maintain the cost centre of the vehicles
• Maintain and link assets to correct management account
• Maintain logbooks, records, and monthly kilometers to update the relevant fleet management
service providers
• Maintain transport related records: vehicle licenses, driver licenses, traffic fines, timesheets etc.
• Maintain and handle all insurance related documentation, claims and cost distribution on
Secure Office
• Process and obtain number plates, driver’s licenses, vehicles insurance and roadworthiness
certificates
• Processes quotations and invoices for transport supplies
• Create purchase order numbers and send to the relevant suppliers as and when required
• Verify unprocessed PO’s and remove if required
• Maintain asset registers and provide a monthly update to the insurance providers
• Compile traffic fines and prepare deductions
• Process the payment of contractor invoices and monitor the payments thereof
• Ensure that the fuel consumption for the generators and forklifts in / out is recorded in the
logbooks
2. Monthly reports
• Capture the fleet management accounts on Evolution by no later than the 7th of each month
• Capture the fuel consumption on Evolution by no later than the 7th of each month
• Verify monthly costs captured on the transport management accounts
• Update spreadsheet for the Beat Status Report
3. Payroll
• Update Secure Office payroll attendance registers, for residential contracts on a daily basis
• Ensure accurate remuneration of all employees at month end
• Send list of overtime to the Transport Manager

Job Description

1. Clients Relations / Corporate Image:
• Meet face to face with all clients every three months to ensure that the clients are happy and that our services are up to standard
• Complete questionnaire with clients and obtain possible leads to pass on
• Send out service rating email to all clients once a month
• Communicate effectively with Operations Manager and Contract Mangers. If problems arise at site visits, escalate if necessary
2. Administrative Responsibilities:
• Report Monthly on clients visited during the month with compliments and complaints to MD
• Report to include percentages / recycling numbers of clients as well as their feedback from the service ratings
• Hand in Mileage recorder by the 20th of each month
• Hand in Expense claims by the 25th of each month

3. PPE
• Report monthly on the condition of PPE on sites and compliance with the PPE Policy

4. Staff Wellbeing:
• When on site, communicate with staff about their well-being and report to MD
• Train staff on-site where necessary (in terms of Operational Procedures and OHS)

5. SLA’s

• Ensure that all SLA’s are maintained and updated yearly or when expiration approach

6. Branding
• Report on the condition of any Company Branding on any vehicle or site
• Client specific branding

7. Events and Expo’s
• Attend all Company events and Expos and assist with preparations as far as possible

Qalifications and Experience

National Diploma in Project management / Business Management or similar
• Seven (7) years working experience is required
• Knowledge of Ms Office
• Code 8 Driving License
• Middle management skills
